REGISTRATION TERMS AND CONDITIONS

  • Early registrations will be accepted until Friday, November 30, 2018. Early registration will be changed to the Regular registration fee if not paid by this date.
  • From Saturday December 1, 2018 – Thursday, March 14, 2019: Regular registration fees apply.
  • Friday, March 15 – Thursday, March 21, 2019: Onsite registration fees apply.

 

Payment conditions

All payments are to be made in USD ($) upon receipt of the invoice. Please indicate the participant’s name and “IPA 2019” on all payments.

Full payment of all items is requested when registering (by credit card or by bank transfer). No confirmation or invitation letter will be sent until MCI Canada has received the payment.

After Friday, March 1, 2019, only payments by credit card will be accepted.

As a registered attendee of the IPA 2019, you agree:

  • to grant permission for IPA 2019 and MCI to use your likeness in a photograph or video in all its publications and presentations, including website entries, without payment or any other consideration.
  • to authorize IPA 2019 and MCI to edit, alter, copy, exhibit, publish or distribute the photograph or video for purposes of publicizing IPA 2019 ‘s programs or for any other lawful purpose.
  • to waive the right to inspect or approve the finished product, including written or electronic copy, wherein your likeness appears.
  • that these materials will become the property of IPA 2019 and MCI.

 

ADDITIONAL INFORMATION

  • Credit card payments that require reprocessing for any reason will incur a USD 50.00 administrative fee.
  • If a badge is lost or forgotten, an administrative fee of USD 50.00 will be charged for the reprint of the badge after identity verification (passport, driving license or other recognized identification documents).
  • Refunds: All confirmed refunds will be made after the Congress by bank transfer or credit card per your pre-payment method.

 

CANCELLATION AND refund CONDITIONS

  • Notification by December 31, 2018 - A refund will be granted less a USD 40.00 Cancellation fee and a USD 60.00 Administration fee per registration. 
  • Notification after December 31, 2018 are 100% non-refundable
  • Approved refunds will be processed and issued no later than April 30, 2019
  • Refunds: All confirmed refunds will be made after the Congress by bank transfer or credit card per your pre-payment method

 

CHANGES / MODIFICATION / NAME SUBSTITUTION

  • Any changes requiring assistance from the Congress Secretariat are subject to a USD 50.00 administrative fee. 
  • Changes can be made online at no additional cost by accessing your registration through the delegate portal using your User Name and Password.

 

METHODS OF PAYMENT

  • All payments are to be made in US Dollars (USD/$). Taxes may increase without notice and any such change will be reflected in final rates. 
  • Please indicate the participant's name and “IPA 2019” on ALL payments. All costs are to be paid by the ordering customer.

HOTEL CANCELLATION AND MODIFICATIONS CONDITIONS

Cancellation

  • One-night room and tax deposit are non-refundable. If full payment is provided, all nights are non-refundable.
  • If the attendee chooses to pay the hotel stay in full: Cancellation will be one-night room and tax until February 24, 2019, when the full stay will be non-refundable.
  • You must submit cancellations in writing to MCI by email: housing@ipa2019congress.com before 5:00 p.m. PST on February 24, 2019. 
  • All cancellations after February 24, 2019, can be made directly to the hotel.

Modifications

  • An alternate attendee name may be substituted if you are unable to attend the Congress. Changes can be made online by logging into your account. Substitutions are subject to a USD 50.00 administrative fee if you require assistance from the registration provider. Neither IPA 2019 nor MCI will transfer any fee or payment balances.
  • Any changes requiring assistance from the registration provider is subject to a USD 50.00 administrative fee.
  • Any enquiries or requests for additional information, modifications or cancellations to room reservations should be addressed to MCI in writing (fax, letter, or email). Please do not contact the hotel directly until after February 24, 2019.

 

GENERAL INFORMATION ABOUT HOTEL BOOKING:

Reservations are made on a first come, first served basis. Availability of rooms in each category is limited. Rates apply for standard room; other room types like deluxe room, junior suite, suite, etc. are available upon request. All rates are in US Dollars per room, per night, and includes taxes which are subject to fluctuation.

Only guaranteed reservations will be accepted: to guarantee your reservation a deposit covering the first night is required, either by bank transfer or by credit card (deposits will be deducted from the final hotel bill when paid by the participant at the hotel). After February 24, 2019 midnight PST, only payment made by credit card will be accepted and all outstanding payments must be paid.

After the hotel cut-off dates, you will need to contact the hotel directly for any new reservations and changes.

Large group reservations (more than 9 participants) will be handled by MCI, with separate contracts.

FORCE MAJEURE

MCI and the Hotel are not responsible for either the partial or total non-execution of the contract in the event of accident, an act caused by a third party, such as Acts of God including, without limitation, credible threats of natural disaster in the geographic vicinity of the Hotel, war, curtailment or interruption of transportation facilities, threats or acts of terrorism or similar acts, governmental travel advisory, a governmental elevation of the terrorism alert level, civil disturbance, the issue of a Travel Warning by the World Health Organization or any other cause, comparable events, or disaster beyond the parties' control which prevents the Hotel from accommodating the clients of MCI for the event or if for the same reasons the event is cancelled by MCI.

 

CLOSURE OF A HOTEL

Should offered hotel(s) close between the date the contract was signed and the start of the event, MCI will do its utmost to offer alternative options to the client. If the client confirms such an alternative option, MCI will not be responsible for any difference in rates. Should the client decline the option and book in another hotel outside of MCI’s block, pre-payments made by the client for the closing hotel(s) would be reimbursed by MCI.

RESPONSIBILITY

By registering for IPA 2019 you have agreed to have your contact information shared with current and future organizers of IPA 2019. The participant acknowledges that he/she has no right to lodge damage claims against the organizers should the holding of the Congress be hindered or prevented by unexpected political, economic or environmental events, or generally by force majeure, or should the non-appearance of speakers or other reasons necessitate program changes. With registration, the participant accepts this proviso.

 

DATA PRIVACY

All information requested is for use in compliance with applicable international privacy protection legislation. By completing this form, I request that IPA 2019 use this data to keep me informed of the International Pediatric Association activities. 

 

LIABILITY

For reasons beyond its control the IPA 2019 and/or its Agents, MCI Group Canada Inc. and/or its agents have the right to immediately alter or cancel the Congress or any of the arrangements, plans, timetables, sessions or any other items directly or indirectly relating to IPA 2019. Participants shall not be entitled to return of fees or any compensation for damages that may result from any change, alteration or cancellation. Furthermore, with the exception of any wilful damage or gross negligence committed by IPA 2019 and/or its agents, MCI Group Canada Inc., Neither IPA 2019 nor its agents shall at any time be liable for any direct or indirect damage suffered by the participants including consequential and immaterial damage, caused by failure to comply with any provision of this document. It is the duty of all participants to ensure that they possess adequate travel and health insurance. The IPA 2019 and/or its Agents, MCI Group Canada Inc. and/or its agents will not be liable for any damages that occur while attending IPA 2019, Panama.

 

INSURANCE

The registration fees do not include insurance of participants against accidents, sickness, cancellation, theft, property damage or loss. Participants are advised to take out adequate personal insurance. IPA 2019 and MCI as organizers cannot accept responsibility for personal injuries, or loss of, or damage to, private property belonging to the congress participants and accompanying persons.
